Introduction

Atiya Education and Health Foundation, commonly known as Atiya Foundation (“www.atiyafoundation.com”, “we”, “us” or “our”), is committed to protecting the privacy and personal data of the students, applicants, visitors, donors and well-wishers who interact with us through our website www.atiyafoundation.com (the “Website”), our admission and registration processes, and our educational and health-related activities.
This Privacy Policy (“Policy”) explains what personal data we collect, why we collect it, how we use and protect it, with whom we share it, and the rights available to you under the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 (together, the “DPDP Law”), the Information Technology Act, 2000 and the rules made thereunder, and other applicable Indian laws.
For the purposes of the DPDP Law, Atiya Foundation is the Data Fiduciary that determines the purpose and means of processing your personal data. You, the individual to whom the personal data relates, are the Data Principal.
Please read this Policy together with our Terms and Conditions. By accessing the Website, submitting a registration or application form, or otherwise providing your personal data to us, you confirm that you have read and understood this Policy.

Scope

This Policy applies to personal data we collect: through the Website and any online registration, application, admit-card or related forms; during our admission, entrance examination, coaching, mentorship and residential programmes; through our health camps and welfare activities; and through any communication you have with us by email, telephone, WhatsApp, Telegram or social media.

Key terms

  • Personal data means any data about an individual who is identifiable by or in relation to such data.
  • Processing means any operation performed on personal data, such as collection, recording, storage, use, sharing or erasure.
  • Consent means your free, specific, informed, unconditional and unambiguous agreement, given through a clear affirmative action, to the processing of your personal data for a specified purpose.
  • Data Principal, Data Fiduciary and Data Processor have the meanings given to them under the DPDP Law.

Personal data we collect

Information you provide to us When you register for our programmes or the entrance examination, or otherwise interact with us, we may collect the following categories of information:

  • Identity and contact details: full name, father’s name, mother’s name, gender, date of birth, age, place of birth, photograph, specimen signature, email address, mobile number, telephone number and WhatsApp number.
  • Personal and demographic details: marital status, domicile state, and community/minority status (for example, whether you belong to a notified minority community).
  • Socio-economic and category details: social category (General, EWS, SC, ST or OBC), name and serial number of caste or tribe, caste/tribe certificate details, annual family income and income certificate details, together with the supporting documents you upload.
  • Address details: your permanent address and communication address, including state, city and PIN code.
  • Educational and examination details: academic qualifications (Matriculation, Senior Secondary, Graduation, Post-Graduation and other degrees), including board/university/institution, subjects, year of passing, certificate numbers and marks/CGPA; your history of attempts in the Civil Services Examination or State Public Service Commission examinations; optional subject; preferred test centre; and copies of scorecards, admit cards and certificates you upload.
  • Family details: the names, occupation, designation and educational qualifications of your parents and siblings.
  • Identity and verification documents: a copy of a government-issued identity document (such as PAN, Voter ID or Driving Licence) and the corresponding identity number, and your declaration regarding your conduct and any criminal proceedings.
    • Information that is personal and confidential in nature

      Some of the information described above — in particular your community/minority status, social category and caste/tribe details, financial information, government identity numbers, photograph and signature — is personal and confidential in nature. We collect such information only because it is necessary to verify your eligibility for the reserved categories, fee concessions and relaxations prescribed for the Civil Services and State examinations, and to fulfil our charitable objective of supporting students from disadvantaged and minority segments of society. We apply heightened care to such information and limit access to it on a need-to-know basis.

      Information we collect automatically

      When you visit the Website, we and our service providers may automatically collect limited technical information such as your IP address, browser type, device information, pages viewed and the date and time of access, through cookies and similar technologies (see the “Cookies” section below).

      Information from third parties

      We may receive information about you from faculty, partner institutes, your references, or publicly available sources, where relevant to your admission, mentorship or selection.

How and why we use your personal data

We process your personal data for the following specified purposes:
to register you for our programmes and the entrance examination, and to generate your application, admit card and roll number; to verify your identity, eligibility, category, income and academic record; to conduct the entrance examination, evaluate results, prepare merit lists and manage admissions through our Admission Committee; to provide coaching, mentorship, test series, study material, library, residential accommodation, mess and allied facilities; to communicate with you regarding your application, schedules, results, notices and other administrative matters; to administer our scholarships, fee concessions and welfare measures; to maintain records, statistics and our list of qualified and selected students; to organise and administer our health camps and welfare activities, where you participate in them; to respond to your queries, requests and grievances; to comply with applicable laws and respond to lawful requests from government authorities; and to maintain the security and proper functioning of the Website.
We will not use your personal data for any purpose that is incompatible with the purposes listed above without obtaining your consent.

Legal basis for processing

We process your personal data on the basis of the consent you provide when you submit your information to us, and for certain legitimate uses permitted under the DPDP Law (for example, to comply with a legal obligation, or where you voluntarily provide data for a specified purpose). You may withdraw your consent at any time as described in the “Your rights” section. Withdrawal may affect our ability to process your application or provide our services, and it will not affect the lawfulness of any processing carried out before the withdrawal.

How we share your personal data

We do not sell your personal data. We may share it only as follows:

  • Faculty and partner institutes engaged by us for coaching, mentorship, test evaluation and counselling;
  • Service providers and Data Processors who help us operate the Website, host data, send communications or process applications (for example, the technology vendor that maintains our online registration system), under contractual obligations of confidentiality and security;
  • Government and statutory authorities, examination bodies and regulators, where required for verification, compliance or in response to a lawful request;
  • Auditors, advisors and donors, on an aggregated or need-to-know basis, for legitimate administrative and welfare purposes; and where required by law, court order, or to protect the rights, safety and property of Atiya Foundation, our students or others.

Retention and erasure of personal data

We retain your personal data only for as long as is necessary to fulfil the purposes for which it was collected, including to maintain our admission, academic and welfare records and to comply with applicable legal and accounting requirements. When personal data is no longer required for these purposes, or where you withdraw consent and there is no other lawful basis to retain it, we will erase it in accordance with the DPDP Law, unless retention is required by law.

Security of your personal data

We implement reasonable security safeguards to protect your personal data against unauthorised access, use, alteration, disclosure or loss. These include access controls, secure storage, and confidentiality obligations on our staff and service providers. In the event of a personal data breach, we will take steps to mitigate it and will notify the affected Data Principals and the Data Protection Board of India as required under the DPDP Law. While we strive to protect your data, no method of transmission or storage over the internet is completely secure, and you share information with us at your own risk.

Your rights as a Data Principal

Subject to the DPDP Law, you have the right to:

  • Access a summary of the personal data we hold about you and the processing activities we undertake;
  • Correction, completion, updating and erasure of your personal data;
  • Grievance redressal in respect of any act or omission concerning your personal data;
  • Nominate another individual to exercise your rights in the event of your death or incapacity; and
  • Withdraw your consent to the processing of your personal data at any time.

How to exercise your rights and raise grievances

To exercise any of the rights above, or to raise a grievance, please contact our Grievance Officer using the details in the “Contact us” section. We will acknowledge and respond to your request within the timelines prescribed under the DPDP Law. If you are not satisfied with our response, you may escalate your complaint to the Data Protection Board of India.

Children’s data and persons with disabilities

Our coaching and residential programmes for the Civil Services Examination are intended for adults who meet the minimum age and other eligibility criteria prescribed by the Union Public Service Commission (UPSC) and the relevant State Public Service Commissions. We do not knowingly collect the personal data of children (individuals below 18 years of age) through the Website without the verifiable consent of a parent or lawful guardian.
Where we process the personal data of a child, or of a person with a disability who has a lawful guardian — for example, in connection with certain health or welfare activities — we will obtain verifiable parental or guardian consent as required, and we will not undertake any tracking, behavioural monitoring or targeted advertising directed at children. If you believe we have collected a child’s personal data without appropriate consent, please contact us so that we can take corrective action.

Cookies and website tracking

The Website may use cookies and similar technologies to enable core functionality, remember your preferences and understand how the Website is used. You can control or disable cookies through your browser settings; however, some features of the Website may not function properly if cookies are disabled.

Third-party links and social media

The Website and our communications may contain links to third-party websites and social media platforms (such as Facebook, Instagram, X (formerly Twitter), YouTube, WhatsApp and Telegram). Transfers of personal data

We primarily store and process your personal data within India. If any personal data is transferred to or accessed from outside India (for example, where a service provider’s infrastructure is located abroad), we will do so only in accordance with the conditions permitted under the DPDP Law.
